We have an exciting opportunity for a Personal Assistant within our Professional Practice and Learning Content Acquisitions department. Reporting into the VP, Content Acquisition/Publishing Director this position will also be supporting the Global Editorial Director, Engineering & Statistics and the Global Editorial Director, MRWs & Large Scale Digital Reference together with their respective teams. The successful candidate will be required but not limited to:
- Organise travel arrangements for the directors and for their team members as well as Professional Practice and Learning (PPL) colleagues who may be visiting from other locations
- Organise meetings in-house and externally for the Directors and their team members
- Manage the calendars and diaries as well as distribution lists for the Directors and their teams
- Produce data lists/spreadsheets/analyses
- On-going management and set up of new sites on the internal Intranet (Portal)
- Assist in preparing presentations made to external clients and internal colleagues
- Assist in the annual PPL budgeting process, coordinating collection and finalization of contract signing targets, front list budgets and cost centre budgets from Directors and their teams
- Monitor monthly expenditure for the PPL Content Acquisition group
- Act as an admin co-ordinator for the Chichester based PPL staff
- Undertake project work as required in support of PPL strategies.
Selection Criteria
- Must have previous experience working in an office support role ideally within a busy and demanding environment, previous experience working as a PA is highly desirable
- Proven experience in managing multiple projects while keeping various stakeholders up to date on information
- Ability to communicate with colleagues at all levels of the organisation
- Advance level of competency in using PC software e.g. word processing, spreadsheet, database and presentation in order to save time and optimize personal and/or departmental productivity
- Have the ability to allocate own time efficiently, breaking down complex problems and tasks into manageable parts
- Demonstrates completeness and attention to detail, is able to process paperwork and other information in a timely manner, as well as following up in an efficient manner.
